BISHOP CONWELL-EGAN 45th Reunion Committee 
Meeting Minutes from April 30, 2011
 

A brief meeting was held at the Temperance House Saturday, 4/30, and the usual suspects were in attendance. The high points were as follows:

1. Finances - we currently have $2400 in the account. Our guarantee of 50 people, plus tax, and gratuity is $2529. ($1900 + $209 + $420 [20%]). $425 for the DJ for four hours, totals $2954. 
The $2400 account balance does not include the $500 already put down as a deposit. So we are actually only $54, in the hole, if we were to gaurantee the 50, which we do not have to do until the 14th I believe it is.

2. Tickets - I apologize, I'm not certain, but I believe it was Tom who printed tickets, they looked great, and we agreed people would feel better about sending there money to some unknown address in Langhorne, 
with nothing to show for it. So Tom will mail the tickets out to those who have already paid. Speaking of those who have already paid, committee members, a few of you haven't sent your funds as yet, 
so you can see why we are not concerned about the $54 deficiet! 

3. Slide Show - We are going to put together a slide show of yearbook pictures, to play throughout the night on a screen, (did we check about the Temperance House having one we could use?) 
Does anyone have any photos they would like to contribute to the down load? Let us know.

4. Stezzi Update - Tom was going to get the list of "new good" contacts, for possibly a last minute phone effort, and to begin to set up the list for the 50th! 
It was also noted what a GREAT job he did with the postcard. Which by the way does say 6:30 to 12:30, (there was some question about that!)

5. Dinner - We had talked about having dinner to try the food at the Temperance 
House, and it was decided that we would do it at the next meeting on May 14th. Since we are having dinner the meeting will not start until 6:00p.m.. 
It was also decided that you could bring along your spouse or significant other. Please hit reply and let me know by next Saturday, May 7th, 
if you will be having dinner, and if you will be bringing anyone with you, so we can have a table reserved for us. Having had 25 plus years in the restaurant business, 
may I please suggest, BRING CASH!! unless you have your platinum American Express, and want to pick up the tab for everyone.... 
it is so embarassing to ask for seperate checks..... It also makes us look like Senior Citizens!!

Meeting Minutes from April 2, 2011


In Attendance: Bill Bennett, Jim Burns, Pat Kelly, Joe Kirlin, Tom Kearns, Bill Plunkett, John Procopi, Diane Walker (via phone)


Location of reunion: The committee met with the Temperance House designee and we are okay with less then 80 people in attendance. They plan to open the restaurant on 5/28 anyway. The room they have designated for us has a maximum allow count of 80 then we would need to spill over to the restaurant. If we are lucky to exceed 80 people they will then close the restaurant and we can use it for the overflow. We need to provide a final head count to the Temperance House by May 14, so that they know how much food is needed, and whether to close or open the restaurant & bar.

DJ: The committee determined that breakeven point for cost of the DJ is 55 in attendance. We believe this is doable. We will negotiate with two DJ’s for 4 hours. Jim Burns will contact Frank McSherry and Pat Kelly will contact Mike McLaughlin. May the best cost win! Jim and Pat will determine which DJ to offer the job. Please notify the committee via email with this decision. 

Postcard: The committee voted NOT to do a second mailing. Update 4/14: Joe Stezzi is doing a postcard sometime after 4/14. He found some addresses we could not find.

Email mailing: Joe Kirlin will continue to send weekly reminders. For the next mailing Joe will state the final date for checks is May 7th.

Church Bulletins: Joe Kirlin stated that we requested the information to be posted to the church bulletins but each church would decide if it would actually be placed in the bulletin.

Commitments to reunion: Tom Kearns will keep the committee up to date with the latest headcount of those who send checks. 

Phone Calls: Diane will email the lists to the committee members that Karen Stone used for flyer snail mailing. The guys on the committee will start calling from their list especially those who live locally. Pat Kelly, Karen Hermans, and Diane will start making phone calls to the girls who live locally. Diane will call all girls living in NJ. Diane will check with Karen Stone to see if she will make calls. Don’t worry about overlapping calling the same person. The goal is to get the word out there regarding the reunion. If each person we contact agrees to contact classmates they are in touch with we may succeed in having more classmates in attendance. 

Tickets: The committee voted NO to printing of tickets.

Address lists: Diane Walker will try to compile a list of girl classmates with ‘bad addresses’ to distribute at the reunion (or email to attendees after the reunion). Jim Burns will need to do the same for the guys.

We will also provide a sign in list for people to provide current address, email, and names/addresses/emails of other classmates. Diane will prepare the master sheet.

In Attendance: Bill Bennett, Jim Burns, Karen Walker Hermans, Pat Kelly, Bill Plunkett, Karen Walker Stone, Diane Walker

Treasurer’s report:

We have $360.00 in the account.  $200 from Tom Kearns when he started the account and $80 each from the Plunketts and Burnses.  We have not spent anything yet.  The account name is “Egan Conwell Reunion 66” at the First National Bank Newtown.  When we finalize an amount, checks can be sent to Reunion, c/o Tom Kearns, 1895 Garden Court, Langhorne, Pa. 19047. 

Tom said he will also get tickets printed and will mail them when the time is appropriate.

Site Selection: Bill Bennett finalized the selection of Temperance House located in Newtown. The restaurant is closed but will open for us. 

A. Has hotel accommodations (13 rooms). If you desire to reserve a room, please do so soon. Cost is $99.
B. Dinner will be buffet style – See website for menu. . Banquet room that will hold 80 people. It is closed for the holiday weekend but will open for us. It also has other rooms that we could spill into if we exceed 80 people.
C. Cost $38 per person plus 6% sales tax and 20% gratuity totaling $48.34 per person. Total ticket price is $75.00 per person. Additional $27 is to cover the DJ and other costs. 
D. Temperance House will handle any decorations using our school colors. 
E. Ample parking..

DJ: Bill Bennett and Jim Burns are contacting several DJ’s. Jim will contact Frank McSherry. Bill will contact Blavet’s assistant for available DJ’s. 

50-50: The committee agreed to run one at the reunion event. Money would be used towards any remaining unpaid expenses for the 45th, preparations for the 50th reunion, and to fund the continuance of our website which costs about $60 a year. 

Door Prizes: The committee voted NO to door prizes.

Name Tags: Jim Burns volunteered to handle this item. He will purchase Blank tags.

Tickets: Cost $75.00 per person. Send checks to: Reunion, c/o Tom Kearns, 1895 Garden Court, Langhorne, Pa. 19047 Tom will send E-tickets to those who have provided an email address.

Speakers at reunion: No ‘formal’ speaker. Bill Bennett volunteered to talk about the 50th reunion.

Door: Pat Kelly volunteered to work the ‘door’ at the event. We all agreed we will need a table for people to sign in, fill out a name tag and pay for a ticket if necessary. 

Advertising: Joe Kirlin sent an email on 1/26 stating that our reunion information went out to all the church bulletins in November. Joe will ask Edna Galloway to post this again now and in March. Edna will also post the reunion information on the official Egan website. 

From 9/18/10 minutes: Joe Kirlin will contact Bill Plunkett to find out who to contact at Conwell-Egan so the school can contact the media etc. (their free media per the How to plan a reunion guide). Joe, any success with ‘media’ posting our information? 

Newspapers: Karen Walker Stone contacted Courier Times to place a spot in their Community pages. Jim Burns and Karen Stone volunteered to have their phone numbers placed in the ad. Do we want to run another ad in March???????

From 9/18/10 minutes: John Procopi will check out Classmates.com for the guys to see if anyone is signed on there. Karen Stone already checked for the girls on this site. John, anything to report? Karen Stone will check Facebook for girls from our class. I believe Jim Burns agreed to check out Facebook for the guys from our class??? Anyone, have any success with Facebook? 

Contacting classmates:

The committee agreed to do a snail mailing in late January or February. This mailing will only be sent to those who have a ‘good address’ on the contact lists and who have not been contacted via phone or signed up on the website. Karen Stone will work with Sister Paula on this task. The school will provide the labels, envelopes and postage. 

Diane and Jim Burns will send the flyer Jim Burns prepared to those listed on Sister Paula’s list who have not signed up on our website. We will also send to all those who have signed up on our website using their actual email addresses. This will be completed by mid February. 

Funds: Temperance House has asked for a $500 deposit. Several committee members will prepay for their tickets to cover this cost. 

Reunion date: May 28, 2011

Meeting Minutes from September 18, 2010


In Attendance: Bill Bennett, Jim Burns, Joe Kirlin, Karen Walker Hermans, Pat Kelly, John Procopi, Karen Walker Stone, Diane Walker

Site Selection: Bill Bennett contacted several sites to obtain preliminary information needed to determine if site was feasible. 

A. Temperance House – Newtown Has hotel accommodations (13 rooms). Good Food and ability to do buffet style. Banquet room that will hold 80 people. It is closed for the holiday weekend but will open for us. It also has other rooms that we could spill into if we exceed 80 people. Cash Bar. Room cost is $150 but Bill will attempt to negotiate a lower price. Ample parking. Committee’s number 1 choice so far. Cost about $40 per person.
B. Washington Crossing Inn. No hotel accommodations. About $40 per person. Ample parking. Food good. Committee’s number 2 choice so far
C. Joseph’s Garden Grill – near Penndel train station. Bill Bennett will check this place out. Suggested by Pat Kelly.
D. PennRyn – between Croydon and Bensalem.
E. Phinney McGee’s – Free for use of bar. Bar closed for us. Food – Open for ordering.
F. Cosmos – like Hugh Carcella hall. Closed Memorial Day weekend but would open for us. Buffet style. In $40 price range.

Bill Bennett will discuss the cost and number of classmates expected with each venue. He will send the committee an email in the coming weeks for us to review his findings and vote on the choice of a location.

Food and Cost – the Committee agreed that Food should be Buffet style if it is possible at the site chosen and that the cost should try to be about $40.

The number of classmates to attend should be around 75-100 counting spouses.

Advertising: Pat Kelly placed an event on Facebook. So far there has been no response from the event. Those on the committee who are on Facebook will visit the event. They will also look for classmates who may be on Facebook.

Joe Kirlin will contact Bill Plunkett to find out who to contact at Conwell-Egan so the school can contact the media etc. (their free media per the How to plan a reunion guide)

Church Bulletins – Pat Kelly had previously sent an announcement to each parish to place in their bulletins.

Newspapers: Karen Walker Stone will contact Courier Times to place a spot in their Community pages. The initial spot will be a ‘Seeking Classmates’. Jim Burns and Karen Stone volunteered to have their phone numbers placed in the ad.

We should also check into Philly burbs.com and Jersey burbs.com. Diane will look into this in the next few weeks.

John Procopi will check out Classmates.com for the guys to see if anyone is signed on there. Karen Stone already checked for the girls on this site.

Karen Stone will check Facebook for girls from our class. I believe Jim Burns agreed to check out Facebook for the guys from our class??? 


Contacting classmates:

Diane and Jim Burns will send emails to those listed on Sister Paula’s list who have not signed up on our website. We will also contact those on our email lists who are not signed up on the website. Note: Many of those on these email addresses did not respond back in 2009. Diane sent 3 emails to each of these girl classmates with no response. The email addresses did not receive an undelivered message. 


Funds: Bill Plunkett suggested that the committee members pre-pay for their tickets which will provide the treasurer some funds for early deposits or costs. The committee members in attendance agreed to this proposal.

Tom Kearns will get in touch with Norm Krier regarding locating former faculty. Tom, any update?

We will not set aside any portion of the ticket price for a school donation. We will provide the ability to do so at the reunion site. 

Discussion took place regarding purchasing of tickets. We decided checks would be the best way. Doing so via a website or email may not be feasible. Tickets could be printed via email or from our website if we really think they are necessary. A confirmation letter of receipt of payment via email could serve as ‘ticket’. Does any one want to weigh in on this? Diane suggests we lob this over to Tom Kearns to arrive at the best solution. 

Diane will contact Pat Kelly to see if she can contact radio stations to have a FREE announcement on the radio station. For example: WOGL and the Levittown station. 9/26: DOES the school perform this as part of the free advertising? Joe Kirlin, can you check into this?

Meeting Minutes from February 13, 2010

In Attendance: Jim Burns, Joe Bonner-Kirlin, Karen Walker Hermans, Tom Kearns, Bill Plunkett, Karen Walker Stone, Diane Walker

Contacting classmates:

Jim Burns reported low success on contacting male classmates. He could use some assistance with phone calls.

Karen Walker Stone has completed the letters K-Z for the initial phone call. She provided Diane Walker with changes for the spreadsheet. Karen Walker Hermans has not had major time to devote to phone calls (J-A). Pat Kelly is working A-J. (Diane will check with Pat for any progress she has to report). Sandy Justice will make phone calls to girl classmates located in the South. Diane will start phone calls the week of 3/14 since she will be working less hours starting that week. Diane will also make Karen’s changes to the spreadsheet by mid April.

Michelle, Kathy, and Roseanne – any assistance you can provide for making some phone calls please contact Diane Walker via email. She will send the girls spreadsheet on to you. 

Finding Classmates:

Pat Kelly requested parishes to have a notice placed in the parish bulletins regarding the plans for the 45th reunion. It provided the website address and phone number for contact. The notice was placed in parish bulletins.

The committee decided we would not make major attempts at this time to find classmates whose address is listed as a bad address. While we would like to find these classmates this is an endeavor we will pursue while preparing for the 50th reunion. 

Site Selection: Bill Bennett contacted several sites to obtain preliminary information needed to determine if site was feasible. We will require a tentative headcount to determine if the site is within out cost per head.

Treasurer: Tom Kearns will set up an account with a bank when we are ready to do so.

Reunion date: Much discussion took place on the selection of the date. 

May 28, 2011 was the date chosen.

Head count: Needed to determine site. If we figure 75 classmates plus spouse/date we could estimate 150 in attendance. If 50 classmates plus spouse/date then 100 in attendance. Not all classmates will bring a guest so the count could be lower then these numbers. The sooner we have an idea of those who may attend then Bill Bennett can book a site. We do not anticipate the count of classmate attendees to exceed 75 – 100 classmates. This number will most likely go higher for the 50th reunion.

Meeting Minutes from October 12, 2009

In Attendance: Jim Burns, Karen Walker Hermans, Patricia Kelly, Bill Plunkett, John Procopi, Karen Walker Stone, Diane Walker

Contacting classmates:

Jim Burns provided an update on the Guys address list spreadsheet. He completed the updated spreadsheet today and the committee reviewed the results. He sent the most recent version out to the team on 10/12. John Procopi will assist Jim with phone calls.

Diane Walker and Karen Stone provided an update on the Girls. Karen Stone has made many phone calls but has only been able to reach 3 girls - Meg Mone McSherry, Pat Kelly and Donna Mohollen. Karen has left numerous voice mails but has not received a callback. Diane reported she has not had much time to make phone calls since she started working part time. She will try to make a better effort in the coming weeks. Karen Walker Hermans volunteered to start making phone calls starting with the letter J and work the list back to the A’s. Karen Stone is working the list from K-Z. Diane is working the list from Z-K. Pat Kelly will be working the list from A-J. Diane will contact Arlene Seeber to see which area she can best assist us.

Finding Classmates:

Pat Kelly will contact the archdiocese to obtain a list of parishes. She will contact the parishes to have a notice placed in the parish bulletins regarding the plans for the 45th reunion. It will provide the website address and phone number for contact.

Contacting – leaving voice mails:

Karen Walker Stone will send an email to the committee to provide the points we need to cover when leaving a voice mail. She said it takes at least two voicemails to leave the entire message regarding the reunion particulars. 

Site Selection: Diane will contact Bill Bennett for an update..

Treasurer: Tom Kearns accepted the nomination chair this committee. He will handle the financials in QuickBooks and will set up an account with a bank when we are ready to do so.

To do’s:

Bill Plunkett will send a copy of ‘Guide to Planning a Class Reunion to John and Diane.

Next Meeting:

The next meeting will be on Saturday February 13, 2010 at 4 PM at Karen Walker Stone’s residence.

In Attendance: Bill Bennett, Jim Burns, Karen Walker Hermans, Maryjane Pacos McHugh, Bill Plunkett, John Procopi, Karen Walker Stone, Diane Walker

Bill Plunkett provided an agenda for the meeting.

Co-Chairs of the 45th reunion planning will be: John Procopi and Diane Walker

Committees decided at the meeting:

Find Missing Classmates

Guys: Jim Burns will chair and Bill Bennett will assist. Diane is currently updating the list the school provided using the Yearbook, the 2007 and 2002 directory.

Girls: Diane Walker will chair and Karen Walker Stone will assist. MaryJane Pacos, Sandy Justice Lepley and Kathy Funk Campbell will assist with phone calls. 

Both groups will work with the lists provided by the school. Diane made changes to this list using the 2007 and 2002 alumni directory.

Site Selection: Bill Bennett will chair this committee. He will begin checking out locations etc. in the Levittown area and South Jersey. John Procopi will assist Bill.

Treasurer: The group in attendance nominated Tom Kearns to chair this committee 

The DJ, Decorations, Door Prizes committees will be decided at a later date. Discussion did take place regarding a DJ. Jerry Blavet’s fee is around $2,800. Frank McSherry is also a possibility as a DJ. The site for the reunion is dependent on the expected turnout for the 45th. Due to the economy and the 50th reunion looming in 7 years it is anticipated we will try to keep the per head fee very reasonable. 

Bill Plunkett will send a copy of ‘Guide to Planning a Class Reunion to John and Diane.

The next meeting is scheduled for Monday, October 12, 2009 at 7 PM in the school conference room. Agenda items: Report from committee chairs on Contacting Classmates and Site Selection.
